Job Title: Operations Coordinator

Location: Toronto, GTA

Start Date: Immediately

Job Type: Full Time, Permanent

Compensation: $30-40 houly 


Your Day to Day:

The Operations Coordinator’s duties will include, but are not limited to, the following:

  • Support the Senior Vice President of Strategy and Business Development with day-to-day operational coordination and administrative tasks across the Seniors Home Division.
  • Coordinate purchasing activities for the region, including preparing purchase requests, tracking orders, and ensuring timely delivery of goods and services.
  • Liaise with vendors and suppliers to obtain quotes, compare pricing, and support RFQ/RFP processes as required.
  • Maintain accurate vendor records, pricing agreements, and purchasing documentation.
  • Monitor purchase orders and invoices to ensure accuracy, compliance with internal policies, and adherence to approved budgets.
  • Support cost-control initiatives by tracking spend, identifying variances, and assisting with expense reduction initiatives at site level.
  • Work closely with Finance and Operations teams to resolve purchasing, invoicing, or vendor-related discrepancies.
  • Arrange, plan, and coordinate business appointments, including preparation of meeting materials, background information, and notes.
  • Prepare and maintain operational documents, reports, and correspondence to support leadership decision-making.
  • Support data collection and analysis to assist with strategic and operational planning.
  • Lead food cost reduction projects in Toronto and other locations in line with defined scope and timelines.
  • Support Accounts Payable activities in Yardi and ensure vendors are paid accurately and on time.
  • Assist sites with transitioning services related to new acquisitions.
  • Reconcile corporate credit card spending and ensure proper documentation and compliance.
  • Perform other duties as assigned to support business objectives and operational efficiency.

What You Bring to the Table:

  • Undergraduate degree in Business Administration, Commerce, Supply Chain, Operations Management, or a related field.
  • Minimum two (2) years of experience in operations coordination, purchasing, procurement, or business operations.
  • Experience coordinating purchasing or vendor management activities.
  • Ability to safeguard highly confidential information and demonstrate discretion, professionalism, and integrity.
  • Flexibility to manage changing priorities and task urgency in a fast-paced environment.

Skills and Abilities:

  • Excellent written and verbal communication skills, including business writing and presentations.
  • Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with ERP or property management systems such as Microsoft Dynamics 365 (D365) and/or Yardi is a strong asset.
  • Highly organized with strong attention to detail and accuracy.
  • Demonstrated ability to produce high-quality, error-free deliverables within tight deadlines.
  • Strong interpersonal skills with the ability to build and maintain internal and external stakeholder relationships.
  • Ability to work independently and apply sound judgment.
  • Professional demeanor with a commitment to quality service, compliance, and ethical standards.
  • Adaptable, proactive, and able to remain focused under pressure.
