Position: Executive Assistant to the President, Operations

Reports to: President

Location: 960 Quayside Dr, New Westminster, BC V3M 6G2 

Salary Range: $65,000-$75,000

 

Your Day to Day:

  • Schedule Management:
    • Arrange, plan, and coordinate business appointments
    • Provide meeting notes and background information for appointments
    • Arrange travel, accommodation, and car reservations
    • Manage calendar and itineraries
  • Administrative Support:
    • Compose and edit documents, including confidential correspondence, contracts, and proposals
    • Prepare reports, write and edit copy
    • Assist the Vice President of Operations and team with ad-hoc projects and events
    • Record, transcribe, and distribute meeting minutes
    • Maintain organized digital and paper filing systems
  • Reporting and Analysis Support:
    • Assist in preparing and analyzing reports (budget, sales, student data, etc.)
    • Attention to detail and accuracy in interpreting documents
  • Communication Liaison:
    • Screen and distribute incoming communications
    • Prepare responses and follow-up on issues and concerns
    • Work with departments to coordinate activities and projects
  • General Administrative Duties:
    • Perform clerical duties (photocopying, scanning, faxing)
    • Suggest improvements for operating practices
    • Provide reception coverage
    • Other duties as assigned

What You Bring to the Table:

  • Education & Experience:
    • Diploma in business administration, commerce, hospitality, or related discipline; preference for an undergraduate degree
    • 5 years of related work experience, preferably in a large or diversified organization or government
  • Competencies:
    • Knowledge of social etiquette and formal service procedures
    • Strong written and oral communication skills
    • Flexible and adaptable, managing competing priorities under tight deadlines
    • Ability to analyze and interpret budgetary and statistical data
    • Proficiency in Microsoft Office applications
    • Strong organizational, planning, and interpersonal skills
    • Ability to work independently with attention to detail
    • Professional attitude and commitment to quality service
    • Ability to safeguard confidential information
    • Must have access to a reliable vehicle and possess a class 5 driver's license
    • Ability to travel occasionally (less than 10%)

Nice to have:

  • Proficiency in additional languages, particularly Korean
