Your Role
The Executive Assistant & Special Projects Manager will work closely with the President, providing executive support while coordinating high priority projects and strategic initiatives across Prima Living.
This is a fast paced, high impact role for someone who is organized, proactive, resourceful, and comfortable managing multiple priorities. The successful candidate will work closely with executive leadership, provide regular updates, respond to changing priorities, and ensure projects move forward on time.
This is not a traditional 9 to 5 role. The position requires flexibility, occasional additional hours when business needs require it, and the ability to work effectively with leadership that is highly involved in projects and expects frequent communication and follow-through.
Location: New Westminster, BC
Compensation: $70,000–$90,000, inclusive of base salary and bonus
Schedule: Full-Time | Onsite
Key Responsibilities
Special Projects
- Coordinate strategic, operational, and executive projects across the organization.
- Track deadlines, deliverables, budgets, action items, and follow-ups.
- Manage multiple priorities and adjust quickly when priorities change.
- Coordinate with internal teams, consultants, vendors, and external partners.
- Prepare reports, presentations, project updates, and executive briefing materials.
- Identify process improvements and opportunities to increase operational efficiency.
- Conduct research and analysis to support executive decision-making.
Executive Support
- Provide executive and administrative support to the President.
- Manage calendars, meetings, travel, and scheduling.
- Prepare confidential correspondence, reports, presentations, and documents.
- Track meeting action items and ensure timely follow-up.
- Provide regular updates on projects, deadlines, and outstanding priorities.
- Coordinate communication across departments and external stakeholders.
Technology & Operations
- Use AI and digital tools to improve workflows, reporting, research, and productivity.
- Support operational reporting, data tracking, and business analysis.
- Help implement new systems and process improvements.
What You Bring
- 5 years of experience in executive administration, project coordination, operations, business analysis, or a related field.
- Strong organizational, communication, analytical, and project management skills.
- Ability to manage multiple competing priorities in a fast-paced environment.
- Comfortable working closely with senior leadership and receiving direct feedback.
- Strong attention to detail, discretion, and professionalism.
- Strong technical skills and ability to learn new systems quickly.
- Proficiency with Microsoft Office and digital collaboration tools.
- Ability to adapt to changing priorities and occasionally work additional hours when required.
